The recent outbreak of COVID-19 (Coronavirus) is not just a public health and safety concern, but a serious economic one as well. There’s a real risk that business can grind to a halt if a quarantine scenario affects peoples’ ability to get their work done. Another fear is that the partners and services that businesses depend on may slow or suspend operations if they’re facing their own quarantine issues.

We’re happy to let our customers know that eFileCabinet has for the past year been implementing a work from home program for all of our employees. We originally did this to improve work-life quality for our employees, but now it also has a health-related function. In the case of a serious quarantine scenario that’s in any way connected to eFileCabinet, we’re prepared to initiate a mandatory work-from-home policy until we feel the danger of infection has passed.

Our biggest priority is the health and well-being of our employees, but after that, it’s allowing our customers to continue to depend on us for all of their document management needs. Fortunately, we’ve given all of our employees the tools and training to do their jobs remotely, just as effectively as if they were in the office.

We know that every day our customers depend on our support teams to answer their questions and resolve any issues. They depend on our QA and development teams to ensure that our service remains operative and efficient. Every one of our employees is able to fulfill their responsibilities from their home offices, so eFileCabinet can continue delivering our award-winning software and customer service, even when our offices are temporarily closed.

We make use of the best tools to communicate with each other and with our customers. Slack and Go-To-Meeting are a few of the tech tools we use to communicate with each other when working remotely. Besides email, our team is able to receive customer calls through the phone platform JIVE, allowing them to stay accessible to customers who need help.

Rubex by eFileCabinet is accessible to you through nearly any device with an internet connection, so you too can protect yourself and your coworkers from the risk of infection.

Communication is vital when it comes to remote work. It’s essential to have platforms for communication and collaboration that are intuitive to use and responsive. Both of these are achievable through Rubex, thanks to its versioning features which allows users to create new versions of a document and append/prepend documents with additional files.

The preview view allows users with the right permissions to add annotations, redactions, and even draw on the document. A comment section is also attached to the document, so coworkers can exchange feedback and notes. Users can view the version history of each document, so they know exactly what has changed, when, and who made the changes.

When going back and forth on a particular document, you can activate an automation rule to send you a simple notification through the Rubex Activity Center, to let you know when any changes are made.

Public health is important and we take this most recent epidemic seriously, but we don’t want to let it get in the way of our business, and especially not your business. So whether you’re at the office or working remotely, eFileCabinet will continue working for you throughout these worrisome times and beyond.
